Setting Up The Elvanto ChMS Integration

The Elvanto integration will push giving records from Tithely into your Elvanto account automatically for you. How often and to what funds these gifts are recorded in Elvanto will be determined by the settings you have selected.

User Permissions needed to access Integrations
Account Owner, Admin, or Limited Access with access granted to Administration. If you have additional questions, please reference this article.

Tithely Tip

  • The integration should only be set up in 2.0 at this time. If in both, you will experience duplicates.
  • The first time the integration is connected the integration will send the last known transaction (if set up by transaction) or last known deposit (if set up by deposit).
  • If the integration was previously halted and is now being reactivated, what's the span it covers to recover any omitted transactions.
  • Be sure to have at least one account set up in Elvanto before setting up this integration.
  • Donors will be mapped/identified by both name and email.

 

Set Up the Integration

To set up the integration you will need your Elvanto API Key. Once you have this information you will need to follow these steps to set up the Elvanto Integration for the first time:

  1. Log into Tithely as an Admin

  2. Select Giving.

  3. From the giving page click the Global Settings button (the Person Icon) on the bottom left corner of the navigation.

  4. Select Integrations.

  5. Locate the Elvanto integration and select Install.

  6. You will be redirected to a page that looks like this:

  7. Stay on this page until the next page loads, otherwise you will need to redo the setup of the integration again. Do not click on the links in this window as it will stall the setup. Then click the green button that says "Help Me Setup the Integration"
  8. On the next page input your Elvanto API Key and click Next. 2022-08-29_10-51-08.png

  9. Decide if you want to receive email notifications, if so toggle the enable emails to active and include the email address you'd like to receive emails notifications. Click Next when complete.

  10. Choose the campuses you want to connect to through the integration and click Next.

  11. Make selections for the campus settings.

  12. Click Next. (If you selected multiple campuses in the previous step you will complete step 3 for each campus)

  13. Confirm your selections and click Finish. If you need to make any changes click Edit beside each section.

  14. You will see a "That's it!" Message. Be sure to connect the rest of your Tithely Funds to Elvanto Accounts so that the giving syncs properly when it syncs. Either click the "For more settings, check out fund maps" link or follow the instructions below, to configure fund mapping. If you have multiple campuses, you will need to make sure you connect/map funds for each campus.

  15. You'll see your dashboard update and show sync history once we have completed sending your first transaction over. Depending on the settings you selected under Elvanto Batch Giving, you will see the most recent deposit sync show in the dashboard if you selected Deposit or if you have Daily selected it will bring over the last day of transactions. 

  16. Make sure you switch Enable Sync to Active in the campus settings (this is what turns the integration on for each specific location).

Integration (Campus) Settings

Follow these steps to make changes to the campus settings:

  1. Login to Tithely and select Giving from the Dashboard.

  2. From the giving page click the Global Settings button (the Person Icon) on the bottom left corner of the navigation and choose Integrations.

  3. Enter the Elvanto integration by clicking the Configure button on the Integrations page.

  4. Click the campus name you wish to work with under Manage Campus on the left navigation panel.

  5. This will open the Campus Settings where you can make adjustments to the integration. View the chart below for a list of all the options and functionality available. The options selected on this page are autosave.

If you have multiple campuses you will need to set up the campus settings for each campus location. Each campus's settings must be configured and the enable campus toggled to active before syncing of that location's data to Elvanto will occur.

Enable Sync

This turns on the integration between Tithely and Elvanto for this campus. If it is inactive no transactions from this campus will pass over into Elvanto. If its active transactions for this campus will push into Elvanto. By default, this is set to disabled.

Enable Emails

If active the email addresses provided in the field below will receive an email every time Tithely pushes giving into Elvanto, if an error occurs, and if the integration becomes disabled.

Default Tithe.ly ChMS Elvanto Account (Fund)

The default fund you select will be used in the case that giving gets recorded to a fund in Tithely and you have not mapped an Elvanto fund up to it before the giving syncs into Elvanto.

Tithe.ly ChMS Elvanto Batch Grouping

If you select Deposit this will create a new batch in Elvanto containing the transactions in your deposit (named Tithe.ly YYYY-MM-DD) while Daily will create daily batches for all transactions (online and gifts recorded through Admin Batch Giving) that occurred during that day (named Tithe.ly YYYY-MM-DD). *Please note Credit/Debit gifts and ACH gifts create separate batches in Elvanto*
**How often money is deposited is determined in your Deposit Setting in Giving 2.0**

Email Notification Addresses

If you would like the specific campus name to populate in the batch name in Elvanto select yes. This is helpful if you have multiple campuses being recorded in Elvanto and want to differentiate easily between the batches

Connections / Fund Mapping

Connections are where you will find your Fund Mapping. Fund Mapping gives you the ability to map your Tithely funds with the funds in your Elvanto account.

For instance, you may have a Tithely giving fund named Youth Missions and want all transactions for that fund to be recorded to the Missions Account in Elvanto. 

Caution

If you do not map your funds, all gifts pushed into Elvanto will be recorded to the default fund (account) selected as the Default Elvanto Account in the Campus Settings. We recommend mapping all funds, including inactive to ensure accurate reporting in both platforms.

Anytime you make changes to your funds in Tithely or the chart of accounts in Elvanto, you will want to reconfigure the fund mapping within the integration.

To configure fund mapping, follow these steps:

  1. Login to Tithely and select Giving from the Dashboard.

  2. From the giving page click the Global Settings button (the Person Icon) on the bottom left corner of the navigation and choose Integrations.

  3. Enter the Elvanto integration by clicking the Configure button on the Integrations page.

  4. Click the campus name you wish to work with under Manage Campus on the left navigation panel.

  5. Scroll down to the bottom of the Campus Settings and find the Connections section, click on the green Connect Funds button.

  6. Select the green Refresh button to update the funds' list and make sure it's current.

  7. Link each Tithely fund to a specific fund in Elvanto.

  8. Once you have connected all of the funds click the green Save button.

  9. Then click the back to locations settings at the top of the screen to return to the Campus Settings. 

 

Connections / Donor Mapping

  1. Login to Tithely and select Giving from the Dashboard.

  2. From the giving page, click the Global Settings button (the Person Icon) on the bottom left corner of the navigation and choose Integrations.

  3. Enter the Elvanto integration by clicking the Configure button on the Integrations page.

  4. Click the campus name you wish to work with under Manage Campus on the left navigation panel.

  5. Scroll down to the bottom of the Campus Settings and find the Connections section. Click on the green Connect Donors button.

  6. Enter the first name, last name, and/or email address of the donor in question. Click on Search and your donor(s) will appear at the bottom of the screen.

  7. Next, enter or update the Elvanto People ID from your Elvanto account.

    Tithely Tip

    Locate a People ID by logging into Elvanto as an Admin. Search for the individual. Copy the ID in the URL (Highlighted in the below image).

  8. Finally, click on Update donor mappings to update this information. This will help ensure that all your donors are correctly mapped and synced with the integration.

Integration Dashboard

An entry is created in the Dashboard any time data is sent by the integration (Tithely) to Elvanto. The dashboard serves as a history for you to cross-reference and reconcile what giving came into Tithely compared to what giving was sent to Elvanto.

You'll see your dashboard load once we have completed sending your first batch over. From then on, once a night we will sync any new transactions to Elvanto based on your Elvanto Batch Grouping selection made in your campus settings.

  1. Login to Tithely and select Giving from the Dashboard.

  2. From the giving page click the Global Settings button (the Person Icon) on the bottom left corner of the navigation and choose Integrations.

  3. Find the Elvanto integration and click Configure.

  4. Select Dashboard on the left Navigation panel.

    a. You will see a list of syncs we've made to Elvanto.
    b. Use the search bar at the top to search syncs (or batches) made by location or gross amount of gift, simply hit Enter on your keyboard to trigger the search. To reset the view, clear the search text and hit Enter again.
    c. To see the transactions within a specific sync (batch) click the blue number under the 'records' column.
    d. Will show you the date and time of the most recent sync to Elvanto.

     

  5. If you would like to see a list of all individual transactions rather, than syncs (or batches), sent to Elvanto click the See all Transactions. This will show all Individual transactions, not grouped by batch/sync.

    a. You will see a list of all individual transactions we've sent to Elvanto.
    b. Use the search bar at the top to search transactions made by location, donor's name, the gross or net amount of gift, and then simply hit Enter on your keyboard to trigger the search. To reset the view, clear the search text and hit Enter again.
    c. To return to the syncs (or batches) click the Return to Dashboard at the top.

Please Note: There are various things that can happen when Tithely tries to sync data to Elvanto.

  • If you see an Authentication error - your connection to Elvanto needs to be updated. Follow the steps below in the update API key section and ensure all your information is correct.

  • If you see a message that states An error occurred. The Integrations Team receives a notice about all errors from the integration. If your configuration settings appear to be correct and the error has not been resolved in a few days, please contact our support team. 

Update API Key

Sometimes you may change the API key within Elvanto. If you do this, this will break the connection between your Tithely account and your Elvanto account which uses these components for the connection.

To update the Elvanto API Key in the integration follow these steps:

  1. Login to Tithely and select Giving from the Dashboard.

  2. From the giving page click the Global Settings button (the Person Icon) on the bottom left corner of the navigation and choose Integrations.

  3. Enter the Elvanto integration by clicking the Configure button on the Integrations page.

  4. Click Settings on the left-hand side navigation bar.

  5. Scroll down to Integrations and click Update Credentials.

  6. Update the API key and click Connect to Elvanto.

Note: When a transaction is synced with Elvanto a new user will be created if the integration is unable to match with an existing user in Elvanto. This new person will include their first and last name.

*Data refers to the amount a donor has pledged and how much has been contributed to that pledge. For example, if a user has set a pledge amount in Tithely this will not reflect in the receiving platform. Contributions to their Tithely pledge will be recorded as regular donations in the receiving platform.

Uninstall the Integration

If you no longer wish to use the Elvanto integration you can uninstall it.
To uninstall the Elvanto Integration follow these steps:

  1. Login to Tithely and select Giving from the Dashboard.

  2. From the giving page click the Global Settings button (the Person Icon) on the bottom left corner of the navigation and choose Integrations.

  3. Find the Elvanto integration on the Integrations page and click the trash can in the upper left corner.
