Summary: This guide explains how to efficiently navigate your Tithely transaction history. Learn how to search for specific gifts, apply detailed filters, customize your column views, create summary reports, and export data for your records.
Before You Begin
Permissions: You must be an Account Owner, Admin, or have Limited Access to the Giving product.
Time Zones: Transaction reporting is determined by the time zone of the computer currently accessing the data.
Mandatory Date Filter: A Date Filter is always required to view transactions. The system automatically defaults to the Last 90 Days to ensure optimal speed and performance. Note: Performing a hard refresh of your browser page will always reset your view back to this 90-day default.
1-Year Display Limit: You can only view up to 1 calendar year of transaction data at a time within the web interface. If you attempt to view more than a year, you will be prompted to either export the data or break your search into smaller date chunks. Note: Time is the only limiting factor here. You can turn on as many data columns as you need; as long as the date range is one year or less, the table will load.
Step-by-Step Instructions
1. Search and View Transactions
Log in to your Tithely account and select Giving > Transactions.
Type a name, email, or phone number into the Search Bar to find specific records.
Navigate through your results. The table uses pagination, displaying 20 transactions at a time. Click the Next or Previous buttons to page through your list.
Check the indicator at the bottom of the table to see the exact number of transactions matching your current search criteria (e.g., "Showing 1 - 20 of 416 Transactions"). This updates dynamically as you change your filters.
Click on any single line item to view the complete transaction details.
2. Filter Transactions (Date & Custom Filters)
Active filters are prominently displayed as individual "pills" at the top of your table so you always know how your data is being sliced.
Adjusting the Date Filter:
Locate the pre-applied Date Filter pill (defaults to "Last 90 Days").
Click the pill to open the date menu.
Select a Quick-Select Option: Today, Yesterday, Last 7 Days, Last 30 Days, Last 90 Days, Last 12 Months.
Or, create a Custom Date Range by selecting exact dates on the interactive calendar. Click Apply.
Adding Additional Filters:
Click the +Filter button.
Select your criteria: Location, Funds, Amount, Status, Deposit Status, Payment Type.
-
Click Apply. These will appear as additional "pills" next to your Date filter.
Note: If you select multiple criteria under a single filter (e.g., three different Status types), they will neatly group into a single pill that reads "3 selections".
Clearing Filters: You can easily remove a specific filter by clicking the X on its pill. If you use the Clear All function, it will reset all of your custom filters, but it will not reset your Date Filter (which must always remain active).
3. Customize Columns (Show, Hide, & Re-order)
Click the Columns button (grid icon in the top right).
Check or Uncheck boxes to show or hide data fields (e.g., Fees, Net Amount, Check #).
Drag and Drop the column names in the list to change the order they appear on your screen.
4. Save a Custom View
If you frequently use the same filters and columns, save them as a "View" for quick access later.
Set up your filters and columns exactly how you want them.
Click the Views button (eye icon in the top right).
Click the green Create button.
Enter a title for your view and click Create New View.
5. Create a Summary Report
Apply your desired Filters (e.g., "Last Month" or "General Fund").
Click the Summary button that appears after filtering.
-
Review the on-screen summary.
Tip: You can print this or download it as a PDF by clicking the Print button within the summary view.
6. Export a CSV File
You can export your data at any time by clicking the Export button (download icon) in the top right corner. The export method depends on the size of your query:
Under 1,000 Transactions: The
.csvfile will automatically download directly in your browser. Check your computer's "Downloads" folder.Over 1,000 Transactions: The system will generate the massive file in the background and automatically email the report to you shortly.
Handling Large Date Ranges (> 1 Year): If you apply a date filter that spans more than a single year, the system will not load the visual table. Instead, you will see a screen stating: "These results span a large date range." From here, you have two options:
Click Download Results to export the entire massive data set to analyze off-platform.
Adjust your date filter into smaller chunks (one year or less) to view the results directly in your browser.
Troubleshooting & FAQs
Why can't I find the transaction I'm looking for? The most common reason is your Date Filter. Because the system automatically defaults to the Last 90 Days, older transactions will be hidden. Check the prominent filter "pills" at the top of your screen to verify your search parameters and adjust the date range if necessary.
Where did my exported file go? If your export contained fewer than 1,000 transactions, the file automatically downloaded to your computer's default storage location (usually the "Downloads" folder). If your export contained more than 1,000 transactions, it was sent to the email address associated with your Tithely login.
Can I customize what is in the CSV export? Yes. The CSV export mirrors what is currently active on your screen. If you want to add or remove columns (like "Fees" or "Net Amount") from the spreadsheet, use the Columns button to adjust your view before clicking Export.Troubleshooting & FAQs
