[BETA USERS] Admin Batch Giving: How to Record and Process Donations

Manually entering visitor donations into Tithely is made simple with our Admin Batch Giving feature. This guide will walk you through using the Tithely Admin Batch Giving tool to efficiently record cash and check donations, as well as process credit, debit, and ACH bank transactions for donors (If already connected).

Learn how to accurately record and manage manual entries for tithes and offerings from both visitors and members, ensuring every contribution is properly tracked in your Tithely account.

Creating a Batch

  1. Log into your Tithely Account and select Giving.
  2. Click on Admin Batch Giving.
  3. In the top right-hand corner, select Add New Batch.

  4. Enter your batch details such as Location, Batch Name and Type. Be sure this information is correct before proceeding as Location and Type cannot be changed. When ready, select Create batch and continue

Note: The Batch Name is being generated based on today's date. If you see a number beside your batch (ex. 3), that is an indicator of how many batches have been created today (ex. 10/1/2024 Batch Entry 3). You may change the name of the batch, but only before its committed. See Viewing and Committing your Batches.

Record Donations

Once your batch is created, you can begin recording and designating your entries. You can search for individual donors, create new donors or external organization, designate loose cash or even created an unmatched entry to designate at a later time. 

Admin Batch Giving also gives you the ability to designate donations to External Organizations, even as pass-through donations. For more information on these use-cases, see our article on External Organizations.

Then you will want to include the donation details, such as Payment Type, Amount, Fund, Check Number (if applicable), Gift Date, and a Memo. 

Select Next Entry once you are ready to move on. 

Below is a walkthrough of entering a Cash donation from start to finish.

Payment Types

When selecting a Payment Type, you will have the ability to select either Check, Cash, Process a Credit/Debit Card, or a Non-Cash Gift.

Note: Cash/Check entries will not sync within Integrations if you are using the "by deposit" method. 
 

Process a Transaction (CC/Debit)

You can process donations on behalf of your donor manually within Admin Batch Giving. 
Select your donor, then choose Process a Transaction as the Payment Type and add their payment method. Payment methods processed under a donor will be stored for the next time you need to process a donation with that payment method.

Non-Cash Gifts

When recording donations in Admin Batch Giving, you now have the option to record non-cash gifts. Non-cash gifts, also known as in-kind donations, are contributions of goods or services rather than money. Some examples of non-cash gifts include goods such as donated clothes, canned goods, or school supplies. Examples of services that may be donated could be fixing the church van or mowing the lawn. 

Adding a New Donor

You can add a new donor from within Admin Batch Giving. When designating your entry, select Create a Donor and enter your donor's details. After filling out the needed details, select Create a Donor. We highly encourage you to use an email address here when adding a donor.

Check Scanning

If you have Tithely Check Scanning, you can scan your checks directly within Admin Batch Giving. For more information on signing up for Check Scanning, see Set up Check Scanning for your Church. When creating a batch, choose Check Scanning as the batch type under How do you plan to create this batch?

You'll then select the fund(s) your checks will be allocated to, the date your checks were given on, how many checks will be included in your batch, and the combined total amount of all the checks in the batch. This information should be known and filled out before you start scanning checks to ensure that what we scanned in matches the batch you have already counted and organized.

Once your scanner is connected, you are ready to begin scanning your checks. If there are any elements that our system was not able to recognize, you will be alerted and can make manual adjustments to these entries as needed.
