Summary: This article explains how admins can manually record cash and check donations using the Admin Batch Giving feature, including important details about the non-customizable receipts generated during this process.
Before You Begin
Platform Navigation: This process initiates in Tithely 2.0 but redirects you to the Legacy Tithely platform (1.0) to enter the data.
Batch Limits: To avoid errors, we recommend processing no more than ten transactions at a time.
Receipts: Be aware that receipts sent via Admin Batch Giving differ from standard online donation receipts and cannot be customized.
Step-by-Step Instructions
Log into Tithely. From the menu on the left, select Giving.
Click on Admin Batch Giving. Note: You will be redirected to the Legacy Tithely platform (1.0).
Select Run Transactions. On the Legacy platform, click this option to begin entering donations.
Enter Donor Information. Input the donor’s details in the Donor Information section, including:
First and last name
Member ID (if applicable)
Email address
Phone number
Address (optional)
Optional: Add a memo or note if needed.
Enter Donation Details.
Amount: Specify the donation amount.
Fund: Select the Giving Type/Fund (e.g., Missions, Tithes).
Payment Method: Choose Cash, Check, or Debit/Credit card.
Check Number: If recording a check, input the check number for accurate records.
Date: A "Date of Transaction" field will appear only when Cash or Check is selected.
Click Process. Once all details are entered, click Process to submit the batch.
Select Receipt Option. Upon committing the batch, you will be prompted to commit and potentially send receipts to your donors.
Important Note on ABG Receipts: The Admin Batch Giving (ABG) receipt is different from the standard donation receipt a donor receives when giving online.
Non-Customizable: The ABG receipt cannot be edited or branded with your custom header/footer.
Standard Format: It uses a hard-coded system format that differs from your automated email template.
Verify Transactions in Tithely 2.0. After processing, return to the Tithely 2.0 platform to confirm the records:
Go to People > Giving > Transactions.
Review the list to ensure all entries from the batch have been committed successfully.
Additional Tips
Accurate Record-Keeping: Double-check all donor and donation details before processing to maintain accurate financial records.
Transaction Limits: Stick to batches of ten or fewer to minimize system timeouts or errors.
Post-Processing Checks: Regularly cross-check recorded transactions to identify and address any discrepancies promptly.
Troubleshooting & FAQs
Why didn't my donor receive their custom receipt? If you selected "Yes" to send a receipt during the Admin Batch Giving process, the donor received the Standard ABG Receipt. This receipt is hard-coded and does not use your custom email template or branding found in the standard Giving settings.
I don't see the Date field. The "Date of Transaction" field only appears if you have selected Cash or Check as the payment method.
