Importing Contacts and Member Data into People

This guide outlines the process for importing contacts and member data into Tithely People, making it easier for church administrators to manage congregational information efficiently. It's designed to streamline the integration of existing data into the Tithely ecosystem, enhancing organizational capabilities and connectivity within the church community.

There are 3 ways to import contacts into Tithely People.

  1. Upload a CSV File (Template provided)
  2. Import Tithely 1.0 Contacts
  3. Import from Elvanto 

User Permissions needed to access People
Account Owner, Admin, or Limited Access with access granted to People. If you have additional questions, please reference this article.

Upload a CSV File

❗ Important Note:  We recommend limiting the number of contacts being imported into People to 5,000 or fewer. Additionally, please note that the Messaging Fields (phone and email) may take up to 30 minutes to auto-populate if the correct formatting directions are followed. Lastly note if there are existing users in Tithely People this will create duplicates rather than updating users profiles.

Internal Note: Import should only take between 1-15 minutes to auto-populate per Jira report: https://tithely.atlassian.net/browse/BRZE-408.

  1. Login to your Tithely account.
  2. Go to People and select the All People tab
  3. Click +Add New.  
  4. In the Add New Person window click Import
  5. Choose the CSV File option, this will redirect you and walk you through 4 steps to import your data.

  6. On the next page, click the Green Download Template button. This is Step 1.
    • This will provide a template for you to use, which includes all fields in your People Profiles. (This will download from your web browser. You will want to check your download folder for this template)
    • ❗ Important Note: You must include country codes for phone numbers based on the ISO 3166 format, otherwise the Messaging phone number field will not populate. In the Template this is column mobile_phone_country_code. For more information on Country Codes, follow this link, select country codes, enter your Country, and hit search. 
  7. Once the file is downloaded click Continue to Complete Template, this is Step 2. Once you are done reviewing the requirements of each field type and ready to upload your file click Continue 
    • You will be asked to use the provided rubric to complete the template. The rubric shows all the fields you currently have in Tithely People, the type of data that is accepted for each field, and how the data needs to be formatted for import.
  8. Next, you will upload and review your completed template file, this is Step 3.
    • You can drag and drop your updated template into the box to upload or click to choose the template file.
  9. Once you have included your file and see it loaded you will need to click Upload File to begin the Validation process. 
    • While the validation process runs, you can navigate away from the Import Page. To return, simply follow the link in the confirmation email that is sent once the validation process is complete, or go back to the People page and select and click Add New > Import > CSV File and you will pick up right where you left off.
    • If any issues are detected, those will be listed so that you can make the corrections and choose to “Upload Updated File.”

  10. Click the green Import # of People button to confirm and finalize the import, This is Step 4.
    • You can navigate away from the page as the import runs. You will receive an email confirming the import is complete.
    • To navigate back to the Import Page, simply follow the link in the email, or navigate to the People page and click Add New > Import > CSV File and you will pick up right where you left off.
  11.  Once complete you can choose to “Go to All People” to view all the information that has been imported or “Import Another File.”

Formatting CSV Data

When formatting your CSV file it is important that the file headers be kept in the original format e.g. first_name, last_name, email_address, etc. If they are moved around or edited, the import will fail. 

Please see the guidelines below for how to format CSV data correctly:

  • First and last names are required fields.

  • Phone numbers can be entered with or without hyphens, but must include the country code in the ISO 3166 format. Examples: 19204335876 or 1-920-433-5876 (exclude the + sign)

    • For more information on Country Codes, follow this link, select country codes, enter your Country, and hit search. 
  • Gender must be fully lowercase and the 3 types of statuses that will be accepted are female, and male, or the field can be left blank (which will indicate 'Not Specified').

  • Marital status must be fully lowercase and the 6 types of statuses that will be accepted are: single, married, separated, widowed, divorced, or the field can be left blank (which will indicate 'Not Specified').

  • The correct date format for date-related fields is YYYY-MM-DD. They must contain hyphens and require a two-digit month, a two-digit day, and a four-digit year.
    Example: 2020-06-01

  • The address country code field requires the country code to be two digits, as well as upper case.
    Examples:
    United States US, Canada CA, Australia AU, Singapore SG, Japan JP, etc.

    • For more information on Country Codes, follow this link, select country codes, enter your Country, and hit search. 
  • Identifying Multiple Checked Boxes in an import. If you have set up custom checkboxes in your Tithely People area your downloaded template will include these fields. If a custom check box has multiple options to check here is how you will format the cell in your corresponding member's row: Option 1, Option 2.
    Example: If you have a Title that is "Member and Baptized" and have two corresponding Check boxes to check. In your CSV file in the member's row add "Member, Baptized". This will check both boxes upon import.

🌟 Tip: For date-related fields, you may need to go to your Date settings and change Language(Location) to English (Australia) in order to format correctly.

 

How to Import Contacts Using Tithely 1.0 Contacts

  1. Login to your Tithely account.
  2. Go to People.
  3. Click Add New.  
  4. In the Add New Person window click Import.
  5. Choose the Tithely 1.0 option, this will redirect you and walk you through 4 steps to importing your data.
  6. Click Start Import to import your Tithely 1.0 contacts into Tithely People.
    • An email will be sent to the primary admin when the import process has been completed.
  7. Click the Close button to continue on with your tasks in Tithely.

Import from Elvanto 

  1. Log into Tithely as an Admin.
    Note: You will also need Admin access in Elvanto to complete these steps.
  2. Select People.
  3. Select + Add New.
  4. Select Import.
  5. Select Elvanto.
  6. Enter your Elvanto API.
    Note: You can locate your Elvanto API by logging into Elvanto, selecting Settings, and Select API Key.
  7. Select Start Import.
    Note: Your import will start and complete in the background. You can navigate away from this page.
