How to Manually Enter and Delete Cash or Check Donations using Admin Batch Giving

Before You Begin

  • Transition Notice: Accessing this tool will temporarily route you to an older Tithely 1.0 interface. You can easily return to the updated dashboard when finished.

  • Important Reporting Warning: The View Giving Statements area contains outdated reporting information and should only be used to delete manual entries. Never use it to reconcile transactions or export files.

  • Email Addresses are Highly Recommended: Having both the donor's name and email address ready is crucial. Failing to associate an email can cause issues with donor matching and year-end tax statements.

  • Entry Limits: We recommend processing no more than 6 manual entries at a single time.


Step-by-Step Instructions: Entering Donations

  1. Navigate to Giving in your main menu, then select Admin Batch Giving.

  2. Click the Go to Tithely 1.0 space button when prompted by the system.

  3. Select the Run transactions option on the landing page.

  4. Enter the donor's Name and Email Address into the fields on the left side of the form.

  5. Select your desired payment method (e.g., Cash Recording or Check Recording) from the Payment Method dropdown on the right side.

    (Note: You can also use this area to manually process a physical credit/debit card or bank account if a donor requests assistance).

  6. Enter the Amount, Giving Fund, Gift Date, and Check Number (if applicable) into the corresponding fields.

    (Note: As you fill out a form, a new blank form will automatically pop up below it for your next entry).

  7. Click the Process button at the very bottom of the screen once you have entered your batch (up to 10 at a time).

  8. Click People in the left-hand menu to return to the updated Tithely space where you can safely reconcile your giving.


Step-by-Step Instructions: Deleting an Accidental Entry

  1. Navigate to Giving > Admin Batch Giving and click to enter the Tithely 1.0 space.

  2. Select the View Giving Statements option from the main screen.

  3. Search for the accidental transaction using the search bars at the top (by Name or Email), or scroll down the list.

  4. Click the Remove button located on the far right-hand side of the cash or check donation line to delete it from the system.

  5. Click the Tithely logo in the top left corner to go back to the main screen, then select People in the menu to return to your updated dashboard.


Troubleshooting & FAQs

  • Why is it so important to include an email address for manual entries? If you do not associate an email, the system may struggle to file the donation under the correct existing donor profile. This will cause frustrating issues down the road when generating comprehensive tax statements.

  • Can I run a report from the View Giving Statements page? No. This is a very old, outdated area of the system. You should only use it to hit the "Remove" button on accidental manual entries. For reconciling and exporting, always return to the main Tithely transactions area.

  • How many manual entries can I process at once? As you fill out a form, a new one will continuously pop up. However, for system stability and accuracy, we highly recommend not doing more than 10 entries at a time before clicking the Process button.
