Generating Tax Statements

Tithely has revolutionized the way your organization can generate, access, and distribute tax statements, making the process straightforward and hassle-free. This guide will walk you through each step needed to create tax statements for your organization and its various locations, ensuring you're well-equipped to manage this crucial aspect of financial administration. Additionally, you'll learn how to access and handle previously generated tax statements, including options for printing and emailing them directly to donors. How to Generate Tax Statements for Your Organization

We recommend waiting until January 15th to run your year end tax statements. This allows time for all transactions to deposit and be recorded properly.

  1. Login to your Tithely account.

  2. Select Giving.

  3. Select Tax Statements from the Giving menu.
    Note: To view previously run tax statements select the date range of the batch under the Previous section.

  4. Choose your desired Year/Date Range and Location
    NOTE: Users with limited access will only be able to generate and view previously generated Tax Statements for Locations they have permission for.

  5. Select if you would like to generate tax statements for Households or Individuals.

    • Households
      Any donor not associated with a Household will receive a personal tax statement.
      For Households, the Primary Household donor's contact information will be used to email the tax statement. For an in-depth overview of using Households, click here.
      Note: For any donor who is not part of a Household in People, the system will send them an individual tax statement.
    • Individuals
      Every donor will receive a personal tax statement

  6. Under Other Options section:
    1. Select if you'd like to Hide the Memo from Description Details.
      You have the option to hide memos on your tax statements. Memos are typically notes or descriptions associated with a donor's gift. If you prefer a cleaner look on your statements or wish to keep the details concise, you may select this option.
    2. Select the timezone for date formatting for your statements.
      It's important to have your tax statements reflect the correct dates for donations. To ensure accuracy, select the appropriate time zone for your location. This will affect how dates are formatted on your statements.
      Click on the dropdown menu labeled "Time Zone for Date Formatting" and choose from the extensive list, categorized by region and city for precision. If your exact location isn't listed, choose the nearest city within your time zone. For example, someone in Central Standard Time (CST) could select 'America/Chicago' to represent their time zone accurately.

  8. Select the Generate Tax Statements button.

  9. Enter an email to receive an email notification when your tax statements are ready or select Don't Send.
    Note: The time to generate tax statements depends on the date range and the number of people within your church. You will receive an email once the statements are generated, the typical time to generate is 1-10 minutes.

     

Limited access users are only able to access and generate tax statements for the locations they have been given access to. Learn more about permissions.

How to View, Email, and Print Generated Statements

Once your statements have finished generating, you will receive an email notification as well as be able to view them from the Tax Statements tab. 

 

  1. Login to your Tithely account.
  2. Select Giving from the left-hand menu.
  3. Select Tax Statements from the Giving menu.
  4. Select the tax statement batch Date Range from the Previous section to get started.
    Note: The Previous section is sorted by most recently generated statements, not by the date of the statements themselves.
  5. Select if you would like to Print all, Email all, or print for an individual, or email to an individual.
    • Print All
      This will immediately open a new window in your browser and allow you to set printer settings and print.
    • Send Tax Statements To All
      This option will prompt you to select how to treat donors who do not have an email address in their profile.

      Fill in Email Address.pngFor any donor, for whom you do not have an address simply leave the area blank and a printed statement will be generated for those donors.
    • Print for an individual
      Email Or Printg.pngSelect the print icon in line with a donor's name. This will immediately open a new window in your browser and allow you to set printer settings and print.
    • Send an email to an individual
      Email Or Printg.pngSelect the paper airplane icon in line with a donor's name. This will allow you to immediately send a tax statement to this individual or household.

      Note: If in place of a paper airplane icon you see a yellow triangle this means an email is missing or invalid. You will be able to update this donor's email by selecting the yellow triangle. This updated email will apply to their user profile in the People area of Tithely as well.
