[BETA USERS] How to Process a Scan Check Entry with No Associated Donor

Summary: This guide explains how to remove the required associated donor from an external organization check entry when using the Check Scanning feature in Tithely Batch Giving.

Before You Begin

  • Check Scanning Only: This feature is currently only available for Check Scanning entries. Manual entries still require an associated donor.

Step-by-Step Instructions

Option 1: Editing an Existing Scan Check Entry
  1. Open the Scan Check Entry: Locate the entry.
Navigate to your check scanning batch and click on the specific check entry you want to edit.
  2. Select External Org: Change the donor type.
In the "Given By" section, change the selection from Donor to External Org. Choose the appropriate external organization from the list.
  3. Select 'No Donor Associated': Remove the donor link.
Choose the option for No donor associated.
  4. Update and Confirm: Save changes.
Click Update. When asked if you want to notify the donor, select No. The donor name will now reflect the external organization name since no individual donor is linked. You can verify this was successful by checking the entry name in the batch list.

Option 2: Creating a New Scan Check Entry
  1. Select External Org: During scanning.
While scanning a new check, select External Org and choose the correct organization.
  2. Select 'No Donor Associated': Set donor association.
Choose the No donor associated option right from the beginning of the entry process. Proceed with saving the entry as normal. You can verify this by checking the new entry in the batch list.

Troubleshooting & FAQs

  • Why can't I do this for a manual entry? Currently, the ability to process an external organization gift without an associated donor is only supported within the Check Scanning workflow. Manual entries still require a donor to be linked.
  • Can I change my mind and add a donor later? Yes. You can open the entry again, choose a donor to associate with the external organization, and click Update. The entry will then display the linked donor's name.
