How to Manually Record Cash, Check, Card, or ACH/Bank Transfer Donations with Tithely

Recording cash donations with Admin Batch Giving in Tithely is a straightforward process that allows you to efficiently manage and track donations. Whether you're manually entering cash, checks, or processing credit card or bank transactions, Admin Batch Giving helps streamline the donation entry process. Additionally, the feature includes check scanning functionality to automate the entry of check donations. This guide will walk you through each step to ensure your church can accurately record donations and manage donor information with ease.

Recording Cash Donations with Admin Batch Giving

  1. Log into your Tithely Account and select Giving.

  2. Click on Admin Batch Giving.

  3. Click Add New Batch.

  4. Select the Location where the donations are being recorded.
    Note: You must have access to this location to proceed.
  5. The batch name will auto-populate with the current date and batch number. You can edit this name if needed.
  6. In the drop-down menu, How do you plan to create this batch? select Manual Entry.
  7. Choose the Entry Method.
    1. Cash
    2. Check
    3. Credit/Bank
    4. Non-Cash
  8. Insert the necessary information.
    • Cash
      1. Add A Donor.
      2. Select Payment Type as Cash.
      3. Enter Amount
      4. Select Fund.
      5. Enter Gift Date.
      6. Enter Memo. (Optional)
      7. Select Next Entry.
    • Manual Checks
      1. Add A Donor.
      2. Select Payment Type as Check.
      3. Enter Amount
      4. Select Fund.
      5. Enter the Check Number.
      6. Enter Gift Date.
      7. Enter Memo. (Optional)
      8. Select Next Entry.
    • Credit/Bank
      1. Add A Donor.
      2. Select Payment Type as Process a Transaction (CC/Bank).
      3. Select Payment Method.
        • Select an existing payment method on file. 
        • Add a new payment method.
          Note: This will save this payment method for the future.
          • Select Card or Google Pay.
          • Enter the Card Number.
          • Enter the Expiration Date.
          • Enter the CVC.
          • Enter the donor's Country.
          • Enter the donor's Zip code (postal code).
      4. Enter Amount
      5. Select Fund.
      6. Select if this gift is Recurring Yes/No.
      7. Select if this donor will cover the fees Yes/No.
      8. Enter Memo. (Optional)
      9. Select Next Entry.
  9. Click Next Entry.
    Note: This will save this transaction on the right side of your screen. These transactions are not submitted until you commit the batch.
  10. When you have entered all the transactions select Commit Batch.
    Note: A batch cannot be edited once a batch is committed.

Tithely Tip

Check the 2.0 area to ensure gifts have successfully been committed to your Tithely account. This is achieved by selecting People and then Giving to view transactions in the 2.0 space.

Record Checks Using a Check Scanner

  1. Log into your Tithely Account and select Giving.

  2. Click on Admin Batch Giving.

  3. Click Add New Batch.

  4. Select the Location where the donations are being recorded.
    Note: You must have access to this location to proceed.
  5. The batch name will auto-populate with the current date and batch number. You can edit this name if needed.
  6. In the drop-down menu, How do you plan to create this batch? select Check Scanning.
  7. In the next screen, Preparing Checks for Scanning enter: 
    • Fund
    • Dates checks were Given
    • Number of Checks you will be entering
    • Total Amounts
  8. Scan all of your checks.
    Note: These will all show on the right-hand side of the screen as the scanner processes the checks.
  9. Select each individual check to verify or edit the information scanned:
    1. Donor
    2. Routing #
    3. Account #
    4. Check #
    5. Amount
    6. Gift Date
    7. Memo
    8. Select Update to commit any changes.
  10. Select Commit Batch.
  11. Review the pop-up and select Commit Batch or Commit without sending email receipts.

Adding a New Donor

While running Admin Batch Giving you can a new donor at any time, and you can create a donor even if you are not ready to process a transaction for that donor. Follow the steps below. 

  1. Log into your Tithely Account and select Giving.

  2. Click on Admin Batch Giving.

  3. Click Add New Batch.

  4. Select the Location where the donations are being recorded.
    Note: You must have access to this location to proceed.
  5. The batch name will auto-populate with the current date and batch number. You can edit this name if needed.
  6. In the drop-down menu, How do you plan to create this batch? select Manual Entry or Check Scanning.
  7. In the Add Donor Section, select Create a Donor.
    1. Enter donor's First Name.
    2. Enter donor's Last Name.
    3. Enter the donor's Member ID. (Optional)
    4. Enter donor's Email Address. (Optional)
    5. Enter donor's Phone Number. (Optional)
    6. Enter donor's Country. (Optional)
    7. Enter donor's Street Address. (Optional)
    8. Enter donor's City. (Optional)
